Populate "Named folder" for every user in Cognos

Hi,

I need to create "Named Folder" in every user's "My Folder"; is it possible to find every user in the security provider and then create "Named Folder" in their "My Folder"?

One method is go to Admin tab; select Security Namespace, browse or search for user, click on his/her "My Folder" and then copy existing "Named Folder" in to it.

But it is manual method with one user at a time and we have large number of user base for which this needs to be done.

Thank you.

Why do you want to do this in the My Folder?

We are in process of moving from old Application (on which existing cognos package is based), to new Application (for which new cognos package has been created).

Lots of users have created their own ad-hoc queries in their My Folder; obviously many of them are one time queries but some of them are not; we have large user base and wanted them to isolate frequently used queries (which will need to be converted) for us. (Audit files can be used to isolate - but not all the frequently used queries will be valid in new application due to different business processes and thus may not need to be converted).

Other way is to create individual folders somewhere in public folders for users and assign security; but the need to create folders remains same in addition to assigning security to them.

There are other ways this could be simplified; i.e. grouping users by their respective departments/units and then attempt to create/consolidate; but wanted to check if there was any automated way to create folders.

Any other suggestion you may have is also welcome.

Thank you.

I would venture to say you will either need to write code with the SDK, or use a tool like MetaManager from the company that hosts us.

HMehta

Hi,

I know about SDK option and it is not possible to consider this time.

Can you give some pointers on how to accomplish this in MetaManager?

Thank you.

Sadly, I do not have this tool available to me.

But I am willing to bet that somebody from Avnet/BSP can chime in.  ;)

I would propose to have users weed through their stuff before you migrate. I think it needlessly burdens your new system with old junk if you copy everything. Consider you can use what we call the 'peep' system: Migrate without and when people don't peep (complain or ask), they don't need it anymore.

Hi,

I agree that not everything needs to migrated and many things may not be applicable to the new system.

Thus in order to weed out and to migrate only the stuff that is essential by users themselves, we need to provide users a placeholder, i.e. named folders, in to which they can copy their stuff.

Migrating without anything is not an option since lots of information/Queries is/are considered essential to business processes (supplemental to online information system) and there are large number users.

Thank you.

Mehta, I think I clearly write weed BEFORE migrating... No deadline, no urgency, no weeding is my experience with human behaviour.

When is the migration, how many users are you talking about and what have you asked them regarding cleaning out their personal folders so far?
