is there any way we can set up a report runs in pdf and alternatvely to run as excel output also

Sure - you can have the report run and render as multiple types in one go.  This can either be done on an ad-hoc basis using the 'run with options' button (then into advanced options) or via a schedule.

A newbie?  Surely not - you have the highest count of New Posts on the entire forum by a large margin, and you're currently up at number 6 in the list for time spent online here.  :)

To run a report ad-hoc and produce both pdf and Excel outputs, do the following:
From Cognos Connection, click on the 'Run with options' button for the report.  Check the radio button next to 'Save the report', then click on the 'Advanced Options' link in the top right corner.  In the Formats area, select PDF and the Excel option you desire, then click Run.

To schedule a report and produce both pdf and Excel outputs, do the following:
From Cognos Connection, click on the 'Schedule' button for the report. Set the desired schedule frequency, then check the 'Override the default values' checkbox in the Options area.  Select both PDF and the desired Excel formats, then click OK.
