Delete users

We want to delete some users from Cognos because they are no longer with the company. The company wants to keep their Active Directory accounts active because that's the company policy (just in case they are are re-hired). So what do I have to do to remove them from Cognos so that they do not consume our Cognos licenses?

I searched the user with the last name in the AD folder and saw the profile. I click on 'More' and it gives me the option to delete
the user's profile. When I delete the profile then it removes that user from the group/role that he belongs to. The user is still seen in the AD folder but now he shows as black. Prior to deleting his profile, he was showing as blue so that I could click on his name. Is this how it should be? Does this mean that the user is no longer considered a valid user in Cognos? Do I have to do anything else?

Do they exist in Planning Contributors or some other Cognos specific group? If so, I would remove them from there rather than from the AD folder.

Hello Cognostechie,
When you deleted a user's profile, all you did was set him/her as "never accessed cognos before". If/When they logon to the environment again that profile will be recreated and you will see that blue hyperlink for their user object again.
If the Company does not want to remove the inactive users, can they at least move them out of the AD tree that your cognos configuration is looking at ? This will resolve your licensing issue as well as the users will be retained for a probable future enablement.

Thanks cognos810 ! That's a great idea ! I see lot of folders from AD in Cognos but not sure if that is the entire tree. I will check with our IT, maybe they can create a folder in AD and make that invisible to applications other than AD or maybe there are already folders like that.
