Hello Cog Fellows

We are planning to remove "My Folders" for all the users. Can anyone suggest any pitfalls on doing so? Are there any specific advantages/disadvantages in keeping/removing the "My Folders" for users? Your comments would be highly appreciated.

Nope. sounds like a good idea to clean things up. I'd just give the users the common courtesy of letting them know ahead of time. That way they can either move what they need to the public folders area, or manually export their report specs.

Thanks Grim for your Comment. The idea is to make everyone work under the public folders by having folders say for eg, "Live Folders", "Development Folders" etc. This way admins have more visibility and control and less maintenance.

Once you give users enough time to move their stuff you can follow the steps outlined in the docs (Link below) to hide the "My folders".

Just a note that this only removes the GUI. If you are concerned about the quantity of stuff sitting in "My Folders", it will still be there unless you go in to each persons folders and remove the content. And the stuff would show up again if you ever re-enable the GUI elements.

OK I give up now. I can't find anywhere how to hide the "My Folders". The linked document only suggests we can hide user interface elements in Public Folders or My Folders. Am I missing something?

I too found the last link you've given but looks like that's an old version of cognos. It is reportnet in version 7 and I can find the following xml snippet in the current (version 10.1.1) system.xml:

<pref name="home">welcome</pref> <!-- [welcome | public | personal ] -->
<pref name="tabs"></pref>

Also in the current Administration and Security guide I can find how to hide "all tabs" and set public folders as home page. I am stumped :-(

It's in the following file...
<cognos>/templates/ps/system.xml

Right near the top. I can't play with my install to test, but you might want to try. Make a copy of the file before doing anything obviously.

I'll keep digging trying to find a solution to this. There has to be a way to disable "My Folders". If not you might have to request an Enhancement via support. -.-

Aha Thanks for the pointer. I was actually looking under <cognos>\templates\ps\portal\system.xml. I shall give it a try and see how it goes.
